Job Description – Family Office Manager (Founder’s Office)
Reporting to: Founder
Location: London (with international coordination)
Salary: £45,000 + 20% Bonus
Employment Type: Full-time
Probation: 6 months
ROLE PURPOSE
The Family Office Manager exists to reduce the Founder’s day-to-day burden by owning
coordination, execution, and follow-through across business interests, investments, and
advisors. This is an execution-led role, not an advisory or strategic position.
KEY RESPONSIBILITIES
1. Portfolio Coordination & Execution
• Act as the single point of coordination across portfolio companies, advisors, and external
partners
• Track all open actions, deadlines, and follow-ups
• Ensure nothing requires repeated Founder follow-ups
• Maintain clear trackers, timelines, and ownership
2. Financial & Administrative Oversight
• Maintain basic cashflow and payment trackers
• Coordinate invoices, payments, and documentation
• Support interactions with accountants, banks, and service providers
• Organise financial documents for review3. Advisor & Stakeholder Management
• Liaise with lawyers, accountants, lenders, and consultants
• Chase advisors against agreed timelines
• Escalate risks and delays early with context
4. Decision Support & Reporting
• Prepare clear written updates for the Founder
• Summarise issues, options, and next steps
• Maintain organised records of decisions and actions
5. Governance & Documentation
• Track key compliance deadlines and filings
• Coordinate signatures, resolutions, and document execution
• Maintain clean corporate records across entities
REQUIRED EXPERIENCE & SKILLS
Essential:
• Excellent numerical and financial aptitude, with the ability to understand cashflows,
funding structures, and financial documentation with high accuracy.
• 2–4 years’ experience in operations, executive support, or coordination roles
• Strong organisational and follow-up skills
• Excellent written and verbal communication
• High attention to detail
• Comfortable working in a fast-paced, founder-led environmentDesirable:
• Exposure to finance, legal, or professional services environments
• Experience supporting founders or senior executives
PROBATION SUCCESS CRITERIA
• All active workstreams mapped and tracked
• Founder follow-ups reduced materially
• Clear weekly written updates established
• No missed deadlines or dropped items
